Contracts

A contract records the agreement under which a partner handles data for one or more of your activities — a data processing agreement with the payroll provider, a joint-controller arrangement with a sister company. With contracts in place the register shows not only who handles the data but under which agreement, and warns you before an agreement runs out.

Contracts are optional. They are managed in Edit mode under Organization settings → Configure contracts, by administrators.


One agreement, several parties and activities

A contract is one record shared by everyone it names: it links one or more partners to one or more processing activities, and it must always have at least one of each — a contract that loses its last partner or its last activity disappears with it. The same agreement can therefore cover the cloud host for the CRM, the newsletter and the support desk at once, and appear on each of those activities and on the partner's page without being entered three times.

Expiry tracking

The application keeps an eye on expiry dates: a contract that expires within the coming days is flagged with the number of days left, and one that has expired is flagged prominently, with a count on the settings tile. Renew the agreement and update the date, or remove the contract when it no longer applies.
