Billing FAQ
Subscription and billing are still being built. This page describes how billing will work, but the functionality is not available yet. Currently no organization is being charged and all data is to be considered work-in-progress. Should you be interested in using rat.gd, please contact gdpr-labs@outlook.com.
The lifecycle behind these answers is drawn in the Billing schema and explained in How billing works.
Plans and payment
Who issues the subscription and the invoices?
GDPR Labs, the company behind ROPA. Every invoice and receipt comes from GDPR Labs. Payments themselves are processed by a specialized secure payment firm; GDPR Labs never sees or stores your card details.
Can I pay per user?
No. The license is per organization, and the price does not depend on how many members it has.
I run several organizations. Do I need several subscriptions?
Yes. Each organization holds its own license and its own subscription.
Can I switch from monthly to yearly?
Yes, from Manage billing on the billing page. The change is prorated automatically.
Are prices shown with or without VAT?
Without. The correct VAT rate for your country is added at checkout. EU businesses may opt in to the reverse-charge rule where it applies: no VAT is added, the invoice says so, and you account for the VAT with your own tax authority.
Where do the address and VAT number on my invoice come from?
They are taken from your organization's details in ROPA. Check them before you subscribe.
Who can subscribe or cancel?
Only organization administrators. Ordinary members can see the license status but not act on it.
Where do I find my invoices?
Under Organization settings → Billing → Manage billing. Receipts are also emailed to your organization's billing email address.
The trial
Do I need a card to start the trial?
No. The 90-day trial starts when the organization is created and unlocks everything.
What happens if my trial ends and I have not subscribed?
The organization is blocked straight away: nobody can open it, the ROPA is available for download only, and after 120 days it is deleted. There is no read-only courtesy period after a trial — that only applies to organizations that had a subscription.
Can I extend the trial?
No. Subscribe before it ends.
Lapsed subscriptions
My payment failed. Do I lose access right away?
No. As long as the paid period is running, nothing changes and administrators see a warning banner. Once it ends, the organization enters a 30-day courtesy period in read-only mode. Fix the payment during that time and everything returns to normal.
What can I do during the courtesy period?
Read everything, edit nothing. Members can browse the dashboard, activities, partners and contracts, and public ROPA links keep working. Creating, editing and deleting are disabled until the subscription is renewed.
What does "blocked" mean?
A blocked organization cannot be opened in ROPA. Administrators still reach the billing page — to reactivate — and can download the organization's record of processing activities. Other members are told to contact an administrator, and public links and PDF exports return an error.
How long do I have to reactivate?
Up to 120 days after the organization is blocked. Reactivating at any point in that window restores the organization exactly as it was.
Is my data deleted?
Not while the organization is in the courtesy or blocked stage — it is hidden, not removed. It is deleted, permanently, at the end of the 120-day blocked period if the organization has not been reactivated. GDPR Labs keeps no copy after that.
Will I be warned before deletion?
Yes. Administrators receive an email two weeks before the deadline. Export the organization if you intend to let it go — see Import / Export.
I cancelled by mistake. Can I undo it?
Yes. Until the paid period ends, resubscribe from the billing page and renewal simply resumes. After that, the organization goes through the courtesy period and the blocked stage like any other lapsed subscription, and reactivating at any point brings it back.
Managing an existing subscription
How do I manage my subscription?
Manage billing on the organization settings page opens your subscription management area, where you can:
- download invoices and receipts,
- update the card or billing address,
- switch between the monthly and yearly plan,
- cancel the subscription.
Cancelling does not cut you off immediately. Your license keeps running until the end of the period you have already paid for; from then on the organization follows the same path as any other lapsed subscription — courtesy period, blocked, deletion.
Other
Which emails can I expect?
All billing mail comes from GDPR Labs. Payment-related mail goes to your organization's billing email address, set in Organization settings:
- a receipt for each invoice, and a notice before a renewal is charged;
- a warning when a card is about to expire, and retry notices if a payment fails.
License-related mail goes to the billing email address and to every administrator:
- a reminder shortly before the trial ends;
- a notice when the organization enters the courtesy period, and another when it is blocked;
- a final warning before the organization is deleted.
Are demonstration organizations billed?
No. Demo organizations are exempt from license banners and never expire.
Does the license change what my public ROPA link shows?
Only when the organization is blocked: public links and PDF exports then return an error to visitors. During the trial, an active subscription and the courtesy period they work normally.
