Import / Export

Your register is never locked in. At any moment you can download everything the organization holds — settings, languages, partners, contacts, contracts, every activity in every language, and your custom templates — as a single file, and you can load such a file back to replace what is there. Use it for a backup before a big change, for bulk editing in a spreadsheet, to move a register between organizations, or to keep a copy outside the application when you let a license go.

Both directions live in Edit mode under Organization settings → Organization data, for administrators only.


Two formats

  • Spreadsheets (ZIP) — a ZIP archive of CSV files: one for the organization, one for the languages, one for the partners and their contacts, one for the contracts, and one per language for the activities. Open them in Excel, Numbers or Google Sheets. This is the format for reading and bulk editing: export, edit the sheets, import.
  • Data file (JSON) — one structured file with the same content. This is the format for backups, for moving data between systems, and for handing to an AI assistant or a script.

Exporting changes nothing and can be done as often as you like.

Importing replaces the register

An import replaces the whole organization with the content of the file — everything currently in the register is deleted and the file's content takes its place — and it cannot be undone. The file is therefore validated in full before anything is touched: missing sheets, a language listed in one place but not another, an activity referring to a partner that does not exist, are all reported with details, and nothing is imported until the file is valid. The upload itself asks for a deliberate confirmation, as the last chance to change your mind.

The same settings page has Reset organization data, which discards everything and reloads the sample register you started with — meant for the test playground, to start your experiments over, and equally irreversible.

Before you let a license lapse

A blocked organization can still be exported by its administrators, a deleted one cannot. If you are not going to renew, take an export while you can — see How billing works.


What an export holds

Everything the organization contains, in both formats:

Members and their roles are not part of the export: they belong to your account, not to the register.
