Organizational Units

An organizational unit — OU for short — is a department, team, function or subsidiary inside your organization: Human Resources, Marketing, IT, the Lisbon office. Every processing activity belongs to exactly one unit, and the unit is how the register is grouped, filtered and coloured: activity cards on the dashboard carry their unit's colour, the sidebar filters the register by unit, and the ROPA PDF is laid out unit by unit.

Units mirror how responsibility is distributed in your organization, so that each activity has an obvious owner and an auditor can see at a glance which part of the company does what with personal data. Three to ten units is typical; you can add more at any time and move activities between them as the organization changes.

Units are managed in Edit mode under Organization settings → Configure organizational units, where every unit is shown as a card that opens its own form; the dashboard's buttons for editing and creating a unit lead to the same form. Only administrators can change units. In View mode every member can read them — names, colour, activity counts and contacts — under Organization settings → View organizational units, without being able to change anything.


What an organizational unit holds​

ActivitiesThe processing activities assigned to it. A unit with activities, active or inactive, cannot be deleted
ContactsNone, one or several contacts — the people to ask about the unit's processing. Unlike the name, they are the same in every language

A unit's contacts are entered in the unit's own form, below its names, and kept in the order you set. They are shared by every language: a contact added or corrected once is the same whichever language the register is read in — only the unit's name is translated.
